Vendor Agreement and Rules

Location: Clava Sports Facility 26923 Fuerte Drive, Lake Forest, CA 92630

This Vendor Agreement (“Agreement”) is entered into between California Card Festival ("Event Organizer") and the vendor (“Vendor”) purchasing a table for the event. By purchasing a vendor table, the Vendor agrees to the following terms and conditions:

1. Table Reservation

  • Each table measures 6 feet and includes two chairs.
  • Booth fee: $225 per table (non-refundable). This fee covers all two days of the event — Saturday and Sunday.
  • Table placement is assigned based on registration order (who signs up first), not arrival time. Your spot is secured once you register.

2. Payment and Confirmation

  • Full payment must be made at the time of registration to confirm the reservation.
  • Vendors will receive a confirmation email after completing registration. 
  • Setup instructions will be sent the week of the event.

3. Event Setup and Hours

  • Setup Time:  Weekend 8:00 AM – 10:00 AM.
  • Event Hours: Weekend 10:00 AM – 4:00 PM.
  • Vendors are expected to remain open for the entire event.
  • Teardown Time: 4:00 PM – 5:00 PM. Early teardown is prohibited.

4. Vendor Responsibilities

  • Vendors are responsible for maintaining their space, including cleanliness and presentation.
  • Vendors must conduct business professionally and courteously.
  • California Card Festival is not liable for lost, stolen, or damaged items. Vendors should secure their inventory appropriately.
  • Vendors are solely responsible for managing their transactions, including sales tax collection and reporting.

5. Prohibited Items

  • The sale of counterfeit items, illegal goods, or any products not related to the hobby is strictly prohibited.
  • The Event Organizer reserves the right to request the removal of any prohibited or inappropriate items from a vendor’s table.

6. Liability and Insurance

  • Vendors agree to hold the Event Organizer, venue, and their representatives harmless from any claims, damages, or losses arising from their participation in the event.
  • Vendors are encouraged to secure their own liability insurance for added protection.

7. Cancellation Policy

  • All table purchases are final. Refunds will not be issued for cancellations. No exceptions.

8. Compliance with Venue Rules

  • Vendors must adhere to all venue policies and safety regulations, including fire codes and prohibited materials.
  • Smoking and vaping are prohibited inside the venue.

9. Promotion and Marketing

  • Vendors grant permission for the Event Organizer to use their business name, logo, and photos of their booth for promotional purposes.

10. Termination of Agreement

  • The Event Organizer reserves the right to terminate this agreement and remove a vendor from the event without refund for violations of this Agreement or behavior deemed inappropriate.

By purchasing a table, you acknowledge that you have read, understood, and agree to the terms outlined in this Agreement.
